Notifications

Set up SMS and app notifications to stay updated on:

Call Activity Alerts - Receive instant call summaries, order and appointment details, and audio recordings immediately after every call handled by the phone assistant.

Account Status Alerts - Get critical system notifications, including failed payments, expired cards, or service interruptions (e.g., if the phone assistant stops working).

YouTube playback quality may be low by default. Use the ⚙️ to switch to 1080p manually if needed. To toggle closed captions, click the 🇨‌🇨‌.

Overview

Every time the phone assistant handles a call, you will receive a notification with a summary of the conversation, what was ordered or booked, a link to replay the call recording, the caller ID (caller's phone number and name, if available), and the time of the call. You are notified even if the call is left unfinished or terminated prematurely, ensuring no call is missed.

You also get critical system notifications, including failed payments, expired cards, or service interruptions (e.g., if the phone assistant stops working).

Choose how you want to be notified — you can use one or all of the options below. SMS (text) and the Order Monitor app are included at no extra cost.

To set up notifications in two languages (e.g., Spanish & English), go to Additional Settings → Phone Assistant Settings → Administration & Notification Language

Notification methods

The Notifications page presents three options as expandable sections: Option 1 — Text Messages (SMS), Option 2 — Order Monitor App, and Option 3 — Receipt Printer.

Option 1 —Get instant SMS alerts (text messages) sent directly to your mobile device immediately after every phone assistant call. Because of phone carriers' character limits, each text is kept highly concise and includes only the caller's phone number, a brief (potentially truncated) conversation summary, and direct links to view the full details or listen to the call recording. Before these text notifications can be sent, you must first configure a Forwarding phone in your settings.

Setting up SMS:

  1. Enter a phone number in the SMS notification field
  2. Click Add to save it
  3. You can add a maximum of 3 numbers — all of them receive every notification
  4. Enter only valid cell phone numbers, as standard landlines are not supported

After receiving the text message, click the link, which opens a browser to view:

  • Your business name and sub-organization
  • Caller name and phone number
  • Request type (Order, Appointment, Information, etc.)
  • Summary of the conversation
  • Order/Appointment detail
  • Link to the full call recording

Removing phone number:

  • To stop sending SMS alerts to all or a specific number, click the trash can icon next to the number(s) to remove it from the receiver list.
  • Avoid using the opt-out method: replying "STOP" to a text message will only block carrier delivery, but it does not delete the phone number from your settings list.
  • Please ensure you only use cell phone numbers from the same country.
  • If you ever accidentally reply "STOP" to opt out, you can easily re-subscribe to text notifications at any time by replying "START" to the same sender number.

Each notification (SMS or Order Monitor) includes:
