Sub Organizations
Managing multiple locations or teams with sub-organizations You can create sub-organizations to manage multiple business locations or distinct employee roles under a single primary account. Each sub-organization operates independently, allowing you to configure unique sets of forwarding numbers, business information, specialized instructions, hours, settings, and notification preferences tailored to that specific group or location.

Overview
Each sub-organization features a unique, dedicated phone assistant that operates entirely independently from your other sub-organizations. Every profile is complete with its own forwarding number, custom configurations, and operational settings.
Your primary sub-organization is generated automatically upon signup and completion of the initial onboarding process. If your business spans multiple physical locations, distinct departments, or separate employee roles, you can create additional sub-organizations to keep each environment completely separate.

Why use multiple sub organizations?
To ensure tailored customer experiences, each individual sub-organization can maintain its own:

Routing: Dedicated or extension forwarding phone numbers.

Knowledge Base: Custom menus, product catalogs, service lists, and business instructions.

Schedule: Independent business hours and time zone settings.

Identity: Distinct AI voice, personality traits, and language configurations.

Tools: Separate POS (Point of Sale) or calendar integration tokens.

Alerts: Isolated notification contacts and routing rules.

Switching between sub organizations
To alternate profiles, use the sub-organization selector located at the bottom of the dashboard sidebar. Once you switch profiles, all configuration and settings pages will automatically refresh to reflect the currently selected sub-organization.
Managing sub organizations
Adding a new sub organization
Navigate to the sub-organization selector located at the bottom of the dashboard sidebar, select Manage Sub Organization.
Click Add Sub Organization
On the Sub Organizations page, click the Add Sub Organization button.
Enter sub organization name and select a template type
Type the name for the new location or department (e.g., "Downtown Location" or "Catering Line"), and select a template type (e.g., "Retail") .
Configure the new sub organization
Switch to the new sub organization using the sub-organization selector and complete its full setup following the Setup Checklist. Each sub organization starts completely unconfigured.
Adding a new sub-organization introduces an additional monthly subscription that syncs perfectly with your primary account's billing cycle. Your first month's fee, if any, is calculated dynamically based on the remaining days in your current cycle. You will be prompted to pay this partial amount during setup. You will not receive separate bills. All fees and active usage from every sub-organization are consolidated into a single invoice on your primary account.
Renaming an sub organization
Click the edit (pencil) icon next to the sub organization name on the Sub Organizations page. Enter the new name and save.
Deleting a sub organization
To delete an additional sub-organization, click the Delete button next to its name on the Organizations page.
Once initiated, all stored information and settings are scheduled for removal. They are held for a brief grace period—during which you can still restore the sub-organization—before being permanently deleted from our servers.
⚠️ Important Notes on Service Interruption

Immediate Termination: The phone assistant associated with the deleted sub-organization will stop working immediately. Disabling a specific sub-organization will not affect your other active sub-organizations.

Minimum Account Requirements: You must always maintain at least one active sub-organization on your primary account. If you only have one sub-organization left, the Delete button will be disabled, and it cannot be removed.

Preventing Extra Charges: To avoid recurring phone number fees, make sure to delete the associated forwarding number from the Forwarding Phone page before you delete the sub-organization.

During the Grace Period

The sub-organization will remain visible in your dashboard, marked with its scheduled permanent deletion date in red text.

You can reverse the deletion at any time during this window by clicking Keep or Restore.
After the grace period expires, the sub organization, its settings, configuration, and assigned phone number are permanently removed. Use the Keep button to restore it before the grace period ends.
Restoring a Sub-Organization
To cancel a scheduled deletion, click the Keep or Restore button next to the sub-organization’s name before the grace period expires. This immediately reverses the deletion and restores all of your previous configurations and settings.
⚠️ Important Note on Forwarding Phone Numbers While your settings will be recovered, you may need to manually re-subscribe to your forwarding phone number. Locate your old number by entering the number during Forwarding number search. If your previous phone number has already been released and reassigned to another business, it will no longer be available, and you will need to select a new number.
